BACKGROUND OVERVIEW

As part of the strategic team, and lead designer for Novo Nordisk's Promotional Review Planning & Reporting Tool. I designed this internal website around a spreadsheet workflow. This was going to be a new process, and to assist with the learning curve I decided that familiarity was key to help with the transition from excel spreadsheet to an online environment.

THE CHALLENGE

NNI required a simple and easy to use solution for their Promotional Materials Review processes. Their staff were using dozens of spreadsheets for the planning, reporting and scheduling of business activities through a long and involved process. They tasked me to conceptualize and provide some new ideas that would ensure user adoption and also simplify and expedite the process. The final solution would be used by more than 500 professionals in the U.S. and required to process over 10,000 materials annually through an involved scheduled process. The system needed to provide real-time status and transparency across the enterprise.

THE WIRES

Working with a large group of stakeholders and super-users, I had to extract key functional and technical requirements from a team with conflicting needs. A full business analysis was performed and guiding principles established in order to drive a common goal and final solution. The process resulted in a complex set of user workflow and wireframe requirements.

THE DEVIL IS IN THE DETAILS

I recieved multiple interviews from stakeholders, users, and workshops to ensure that the complex planning and reporting solution would satisfy the needs of all parties. The final solution needed to provide a simple and intuitive workflow that would eliminate documentation and expedite processes.

EXPLORATION PROCESS

I conducted a detailed business analysis of the process used by all stakeholders. I then created Persona’s and day-in-the-life examples of the steps and tasks that the final solution would need to provide for each user type. I designed a compliant and rich engaging platform for these teams to use and MS SharePoint 2010. The design emulated many of spreadsheet functionalities that the users were familiar with, but presented it in a far more sophisticated interface with real-time views and statuses.

FINAL SOLUTION

The final solution is still only recently deployed, but early indications are that it has hugely improved workflow efficiencies and has been widely embraced by all users. The design has been hailed as sophisticated and intuitive providing a clear and real-time view of the entire planning and review process. The Key Stakeholders have expressed their delight with the response from their teams.
